| JFSA is seeking an Administrative Assistant to the Director of Operations. This front office position will assist with:
- Assist the Director with typing, copying, distributing and organizing tasks related to the function of the department, in an appropriate customer service friendly manner.
-Screens and responds to incoming calls for the department.
-Enter Work Orders for Maintenance Dept.
-Schedule time sensitive inspection for staff with Vendors and Government agencies; maintain inspection records, certificate of occupancy and other required permits.
-Submit request for approval to fund repairs to various government agencies.
-Attend and coordinate Safety Committee meetings. This includes compiling and distribution of notices, agenda's, statistical data reports, and the recording of the minutes.
-Maintain confidential staff driving records and incident reports.
-Coordinate Agency wide meeting room requests and daily posting of building activities.
-Process purchase orders.
-Coordinate cell phone needs for 150+ staff, prepare reports on usage, process invoice and assist Department Directors with confidential cell phone usage inquires.
-Pick-up and distribute mail to staff, assist with phone system add/moves/changes.
-Support, and help staff with voice mail set up.
-Assist H.R. with pre-qualifying applicants, producing handbooks, score tests. |
